The Program Delivery & Systems Associate will play a critical role in supporting the effective coordination and execution of program activities under Program Delivery Specialist. The Associate will serve as a central coordination point, establishing and maintaining strong communication linkages with internal teams, program managers and relevant external stakeholders. The role will be responsible for ensuring timely tracking of deliverables, alignment with program targets and M&E frameworks and supporting the consolidation of results reporting. A key focus will be on maintaining operational efficiency, ensuring adherence to reporting timelines and strengthening systems for data, documentation and performance monitoring across projects.
1. Program Coordination & Delivery Tracking
Maintain a centralized tracking system for all program deliverables across projects (monthly, quarterly, and annual).
Monitor deadlines, flag risks, and follow up with Program Managers to ensure timely submissions.
Support coordination of major initiatives, including Justice Hubs expansion, DEPD GRM, and new program rollouts.
2. Results Reporting & Data Systems
Lead consolidation of program data for:
Quarterly reports
Annual Results Report
Donor reporting requirements
Develop and maintain standardized data collection templates across programs.
Ensure data quality, consistency, and timely availability from all teams.
3. ERP Coordination & Optimization
Act as focal person for ERP usage across Programs.
Support teams in:
Data entry compliance
Troubleshooting system issues
Ensuring alignment between program outputs and ERP inputs
Identify inefficiencies and propose process improvements and/or automation solutions.
4. Dashboarding & Institutional Reporting
Develop and maintain periodic dashboards (monthly/quarterly) covering:
Program progress
Key results indicators
Delivery status
Generate concise analytical briefs for leadership review and external visibility.
5. Documentation & Knowledge Management
Maintain structured documentation of:
Program reports
Proposals and donor submissions
SOPs and internal trackers
Ensure version control and strengthen institutional memory systems.
6. Donor & Reporting Calendar Management
Maintain a centralized calendar of:
Donor deadlines
Reporting cycles
Proposal submissions
Ensure proactive reminders and readiness across all teams.
7. Process Improvement & Automation
Identify repetitive and manual workflows and improve them through:
Standardized templates
Tracking tools
Basic automation (Excel/ERP integrations, dashboards)
Support digitization of reporting and coordination processes.
8. Communications & Visibility Support
Support preparation of:
Program briefs
Impact summaries
Social media content (in coordination with Communications team)
Assist in translating program outputs into external visibility and storytelling materials.
Required Skills & Competencies
Strong organizational and coordination skills with high attention to detail.
Ability to manage multiple deadlines and stakeholders simultaneously.
Proactive, problem-solving mindset with strong ownership of tasks and outcomes.
Strong data handling and reporting skills, including proficiency in Excel, dashboards, and trackers.
Ability to quickly learn and navigate systems; ERP experience is preferred.
Clear, concise, and effective written communication skills.
High responsiveness with strong follow-through on tasks and commitments.
Experience & Qualifications
2–3 years of experience in:
Program coordination
Project management
Operations support
Experience working with:
Reporting systems
Donor-funded projects (preferred)
ERP or similar platforms (strong advantage)
Bachelor’s degree in a relevant field (preferred).
